IRM UK Terms and Conditions

These are the standard terms of client business and all work undertaken by IRM UK shall be on these terms unless specifically varied in writing and agreed by both parties prior to the event.

Event Booking Details

All bookings will be regarded as provisional until these terms and conditions have been accepted, payment has been made, and IRM UK has accepted the booking.

Price and Payment

All prices quoted by IRM UK may be amended when agreed with the client, and the client will reasonably consider any errors or omissions of where an increase is caused by a change in circumstances beyond the reasonable control of IRM UK.

Payment must be with us by the Thursday before the event or within 30 days of invoice date, whichever comes first. For bookings made within two weeks of the event, payment will be required at the time of booking and must be with us no later than the Thursday before the event.

Any query arising from an invoice must be notified to IRM UK in writing by the client within 10 working days of the date of the invoice receipt. Failure to comply may render the full invoice payable on the due date. It is strictly the responsibility of the representative of the client to confirm all relevant parties of the payment terms.

Late payments may incur a late cancellation and administration fee. Failure to meet our payment terms may result in future bookings being cancelled and your company blacklisted.

Registration Fee

The registration fee includes access to the sessions, refreshment breaks, and lunch on each day of the event. The cost of hotel accommodation and travel is not included in the event fee.

Cancellation & Visa Applications

All cancellations must be received in writing from the client at least two weeks before the commencement of the event and will be deemed to take effect from the date of receipt. All cancellations will be subject to a 10% administration fee. Cancellations received within two weeks of the event date will be liable for the full fee. Up to one substitution can be made at any time. Any further changes may incur an administration fee. If the registered attendee does not attend the event and they have not informed us of the cancellation, then the entire fee is still due.

In the event of a visa application decline, a copy of the visa decline letter from the embassy should be emailed to us by the Friday before the event for a full refund or transfer of booking to a future event.

Cancellation Liability

Any postponement of an event due to a Public Health Emergency declared by Public Health England, the Chief Medical Officer for England, or any law or action taken by the UK Government or UK public authority that directly affects the running of the event will be considered as a cancellation. However, provided the event date is agreed upon and takes place within 12 months of the original event date, payments received by IRM UK from the client will form a credit towards the future event unless advised otherwise.

IRM UK’s liability is limited to the return of the registration fee only. IRM UK will not reimburse delegates for any travel or hotel cancellation fees or penalties. It may be necessary, for reasons beyond the control of IRM UK, to change the content, timings, speakers, date, and venue of the event.

Force Majeure

IRM UK shall not be liable for any delay or failure to perform any of its obligations if the delay or failure results from events or circumstances outside its reasonable control, including but not limited to acts of God, strikes, war, or fire, and IRM UK shall be entitled to a reasonable extension of its obligations.

Severance

If any term or provision of these Terms and Conditions is held invalid, illegal, or unenforceable for any reason by a court of competent jurisdiction, such provision shall be severed.

Governing Law

These Terms and Conditions shall be governed by and construed in accordance with the law of England, and the parties hereby submit to the exclusive jurisdiction of the English courts.
